The concepts and the solutions?

When we ask how can I share a project, we may mean:

  • How do I TRANSFER a project file from one device to another device of the same or different user?
  • How do I DISTRIBUTE the project CONTENT?
  • How do I SYNCHRONIZE the project to multiple Apple devices of the SAME user? So that the same user can manage the same plan on multiple devices smoothly.
  • How can I SYNCHRONIZE the project to multiple users? For the team to work together on the same project simultaneously or not. The app automatically syncs the changes of one user with the other users.

AND talking about the above, we may mix the concepts of “sharing,” “syncing,” and “collaboration.” Let’s clarify the concepts here just for our documents, and we would recommend the solutions based on the cleanup.


1. Share the project.

Transfer the project file from one device to any device (of the same or different user).

A project is saved in a file (with a .qpp extension) on the user’s device. In order to read/edit the project on another device using the QuickPlan app, we need to transfer the project file to the other device. (Just like you have a text file on device #1 that you send to device #2, then you can edit the text file on device 2, but writing the text file on device #2 will not affect the text file on device #1)

“Share the project” is to:

  • Export the project to a QuickPlan project file (with a .qpp file extension).
  • Transfer the .qpp file to another device (of the same or a different user).
  • Import the .qpp file into QuickPlan on another device.

2. Send the report.

Send out the read-only copy of the project.

For communication purposes, it may be necessary to send a read-only copy of the project. For example, send the project plan to the customer in a PDF file. It is not necessary to send the project file (.qpp) to the recipient. “Send the report” is to:

  • Export project to PDF, image, and Excel files.
  • Distribute (send) the report file to others.

3. Synchronize the project.

Synchronize the project across multiple (Apple) devices of the SAME user? So that a user can manage the project smoothly on multiple devices.

The user may install the QuickPlan app on multiple devices (iPad, iPhone, and Mac). The user wants to edit the same project on multiple devices. The updates will automatically distribute to the other devices.

QuickPlan supports sync projects via iCloud Drive, and QuickPlan supports sync projects via OneDrive.


4. Team collaboration.

Sync the project between multiple users so that the team can work on the same project at the same time or not. The app automatically syncs updates for other users.

If we are managing a large project with a large team, we may want some team members to be involved in maintaining the same project plan without the sharing steps.
